An HRIS File lists all the employees in your organization who are eligible to participate on the WeSpire platform. The file is typically generated daily and sent to WeSpire via an automated secure transfer to our SFTP site.

Each new version of the file enables us to upload this employee list into the WeSpire platform on a regular basis, ensuring the platform accurately tracks who your employees are as new staff join the organization and other staff depart.


Who is in the file?

The HRIS file must include all employees eligible for the WeSpire platform.

It is valuable to include everyone who has ever been eligible for the program, so that successive file transfers never remove anyone who has left the organization but rather simply indicate with a termination date that they are no longer in the audience.

New employees or audience members are added with a start date. The order or sorting of rows in the file does not matter.

Required and Recommended Fields

Each field is delivered as a separate column in the file.

We do not have particular requirements around column headers, just that they be understandable to our Customer Success Team (eg, "Office Location", not "Ofl_field_23").
